Our Property Management clients are urgently seeking a dynamic, diligent, and professional Property Administrator with strong administrative and organisational skills to support our fast-paced Block Management department. The role is suited to a highly organised candidate, preferably with experience in the housing sector.
Your Key Responsibilities will include:
Your role will involve providing comprehensive administrative support to ensure the smooth running of the department. This includes organising and monitoring work, ensuring timely completion of compliance checks within legal parameters, planning cyclical maintenance, responding to stakeholder emails and requests, taking minutes of meetings, and preparing reports and documentation as requested by management.
The working hours for this role are Monday through Friday, 9:00 am – 5:30 pm, with one Saturday a month, from 9:00 am – 1:00 pm. You will receive the time off in lieu when Saturday is worked. The hourly rate for this role is £17.00, outside IR35.
Qualification – Essential
- GCSE Grade (or equivalent) in English Language and Mathematics.
- NVQ level qualification or relevant experience
- Full driver's licence desirable but not essential
- Advanced user –Microsoft Office, Word, Excel, Outlook, Social Media:
Qualifications, Knowledge, and Experience Requirements - Criteria to be Evaluated at the Shortlisting Stage.
- Always providing first-class support and customer service via phone, email and in person
- Keeping records of all activity on the database, including client correspondence, work orders, quotes, and call notes - ensuring the database is updated and accurate.
- Monitoring emails, activities, works orders, database reports and obtaining regular status updates to ensure service level KPIs are kept (e.g. repair times, sales packs turnaround, email/letter responses, etc.)
- Ensuring only approved contractors are instructed and the contractors' database is updated with the latest insurance and accreditation renewals. Regularly monitoring the service delivery of contractors.
- Assisting with statutory consultation procedures under the supervision of management.
- Assisting with site visits/inspections to check reports and completed works.
- Liaising with leaseholders and block directors to ensure they are kept informed on relevant matters.
- Updating leaseholder and tenant information, ensuring data is accurate.
- Liaising with solicitors, accountants, architects, insurance brokers and other professional service providers to ensure any ongoing matters are dealt with promptly.
- Demonstrating tact and diplomacy in handling sensitive matters.
- Remaining compliant with data protection governance and confidentiality.
- To handle all issues arising in an efficient and professional manner
